This privacy policy explains how GoldenEase (“we”, “us”) collects and uses your personal data when you visit our website, contact us or buy from us. We process personal data in line with the EU General Data Protection Regulation (GDPR) and the Danish Data Protection Act.
1. Who is responsible for your data
GoldenEase is a small online shop run by one person as a private individual. It is not a registered company. The owner of GoldenEase is the data controller for your personal data:
GoldenEase
Nissumvej 27, 7620 Lemvig, Denmark
Email: support@goldeneasepets.com
If you have any questions about this policy or your data, please contact us at the email above.
2. What data we collect
- Contact and delivery details: name, email address, phone number (if given), billing and delivery address.
- Order details: the products you buy, order value, order history, returns and refunds.
- Payment details: payments are handled by our payment providers (for example Shopify Payments). We never see or store your full card number.
- Messages: what you write to us, for example through our contact form or by email, including details about your dog if you share them.
- Account details: if you create a customer account, your login email and account settings.
- Newsletter: your email address, if you sign up.
- Technical data: IP address, device and browser type, and how you use our website, collected through cookies and similar technologies (see section 7).
Most of the data comes directly from you, or is created automatically when you use our website. We may also receive data about you from our service providers, for example payment and delivery status from payment providers and carriers, and fraud checks from Shopify. We do not ask for or collect sensitive (special category) personal data.
Do you have to give us your data? To place an order, you need to give us your name, delivery address and email address. Without them we cannot conclude or deliver your order. Giving your phone number is optional unless the carrier needs it for delivery. Signing up for the newsletter is voluntary.
3. Why we use your data, and our legal basis
- To process and deliver your order, handle payment, send order and shipping updates, and handle returns, refunds and complaints. Legal basis: performance of our contract with you (GDPR Art. 6(1)(b)).
- To answer your questions and give customer service. Legal basis: our contract with you, or our legitimate interest in helping you (Art. 6(1)(b) and (f)).
- To meet legal obligations, such as tax, bookkeeping and customs rules. Legal basis: legal obligation (Art. 6(1)(c)).
- To prevent fraud and keep our shop secure. Legal basis: our legitimate interest (Art. 6(1)(f)).
- To send our newsletter and offers. Legal basis: your consent (Art. 6(1)(a)). You can unsubscribe at any time using the link in every email.
- Analytics and advertising cookies, to understand how our website is used and to show relevant ads. Legal basis: your consent (Art. 6(1)(a)), given through our cookie banner.
4. Who we share your data with
We never sell your personal data. We only share it where needed to run our shop:
- Shopify, which hosts our online store and processes data on our behalf. Shopify also acts as an independent controller for some data; see Shopify’s privacy policy for customers. You can also use the Shopify Privacy Portal to exercise your rights over data Shopify processes.
- Payment providers, to take your payment and prevent fraud.
- Our email provider, Zoho Mail, which stores the emails you send us and our replies.
- Our fulfilment partner CJ Dropshipping, which packs and ships your order from its warehouse in China. It receives your name, delivery address, phone number (if given) and the products ordered.
- Shipping carriers and customs authorities, to deliver your parcel and handle import VAT and customs.
- Email and marketing services, if you sign up for our newsletter.
- Advertising and analytics partners (such as Meta, Google or TikTok), only if you accept marketing cookies.
- Public authorities and advisers, such as the Danish Tax Agency or an accountant, where the law requires it or to protect our legal rights.
- A new owner, if the shop is ever sold or taken over. The new owner would have to follow this policy.
5. Transfers outside the EU/EEA
Some of the companies above are based, or process data, outside the EU/EEA:
- China: our fulfilment partner ships your order from China. China does not have an EU adequacy decision. We only send the data needed to pack and deliver your order (name, delivery address, phone number if given, and the products ordered). This transfer is necessary to perform the contract you have asked us to fulfil (GDPR Art. 49(1)(b)).
- United States, India and other countries: some service providers, such as Shopify, our email provider Zoho, and payment or marketing services, may process data outside the EU/EEA. They rely on the safeguards required by the GDPR, such as an EU adequacy decision (for example the EU–US Data Privacy Framework) or the European Commission’s Standard Contractual Clauses.
You can contact us for more information about these transfers.
6. How long we keep your data
- Order and accounting records: Danish tax and bookkeeping rules require us to keep accounting records. We keep them for 5 years from the end of the financial year they relate to, and then delete them.
- Customer service messages: kept for as long as needed to handle your request and any complaint, and normally deleted no later than 3 years after our last contact.
- Newsletter: kept until you unsubscribe.
- Cookies: kept for the period shown in our cookie banner, or until you delete them.
7. Cookies
Our website uses cookies. Necessary cookies make the shop work, for example your cart and checkout, and are always on. Analytics and marketing cookies are only used if you accept them in our cookie banner. You can change or withdraw your choice at any time via the cookie settings on our website or in your browser.
8. Your rights
Under the GDPR you have the right to:
- get access to the personal data we hold about you;
- have incorrect data corrected;
- have your data deleted, unless we must keep it by law;
- restrict how we use your data;
- receive your data in a portable format (data portability);
- object to our use of your data based on legitimate interest, and to direct marketing at any time;
- withdraw your consent at any time, without affecting the lawfulness of processing before you withdrew it.
To use any of these rights, email us at support@goldeneasepets.com. We will reply within one month. We may need to confirm your identity before we act on a request.
9. Complaints
If you are unhappy with how we handle your data, please contact us first so we can try to put it right. You also have the right to complain to the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, Denmark, dt@datatilsynet.dk, www.datatilsynet.dk, or to the data protection authority in the EU country where you live.
10. Links to other websites
Our website may link to other websites, such as social media or our partners. We are not responsible for their privacy practices, so please read their privacy policies.
11. Security
We and our service providers use appropriate technical and organisational measures to protect your data, including encrypted (HTTPS) connections and secure payment processing. No method of transfer over the internet is completely secure, but we work to protect your data and limit access to it.
12. Children
Our shop is intended for adults aged 18 or over. We do not knowingly collect personal data from children. If you believe a child has given us their data, please contact us and we will delete it.
13. Automated decisions
We do not make decisions about you based solely on automated processing that have legal or similarly significant effects. Our payment providers may use automated fraud checks when you pay.
14. Changes to this policy
We may update this privacy policy, for example if our services or the law change. The latest version is always on this page, with the date it was last updated.
